Users can control who can view their media items in the portal by using the item’s privacy setting. The privacy setting determines whether the thumbnail can be viewed, whether the item can be found in search results and whether the video can be played.

What privacy settings are available?

There are three privacy settings available to the media item owner:

  1. Public. This item is viewable and accessible by every user in the media portal.
  2. Unlisted. This items can be accessed by any user if they have the link. Otherwise, this item will not appear in Search results or browse.
  3. Restricted. This setting creates a Viewing Permission List (VPL). The media item owner can add individual portal users and groups (all group members will have access to the item).

How can I set and change a media item’s privacy setting?

The privacy setting can be set when the media item is uploaded to the portal, and it can be changed at any time in the My Account section of the portal by clicking on the media itemโ€™s Edit button.

There are also a few ways that the media item owner can change the privacy setting through actions taken in the portal. For example, if the media item owner has a private video and adds that video to a group. In this case, the owner will receive a warning informing him or her that the privacy setting will change to restricted and all member of that group will be able to see and access the item if he or she clicks on Continue.

What happens when I change the privacy setting?

If a video is already in use, for example if it has been added to a playlist, then changing the privacy setting may have consequences.

Changing a public video to restrictedย โ€“ this will trigger a warning telling you that the video will be removed from all playlists, favorites and groups, except for those specifically listed in the viewing permissions list. It will be visible only by you and the individuals, groups or roles in the list.

Changing a restricted video to publicโ€“ the video will now be visible by all users in the portal.
